The Rutland Marquee Company Limited, as the data controller, respects and is committed to protecting the privacy of its clients, suppliers and employees. This privacy statement explains what information we may need to collect from you and how we use that information. Should we ask you to provide certain personal information (such as your contact details) then you can be assured that it will only be used in accordance with this privacy statement.
Information we collect
We may collect and store information that you provide us with, which is considered sensitive by the General Data Protection Regulation 2018 (GDPR). This information we collect from you is used to provide the best possible service. Contact details are required in order to communicate with you with throughout the process of your enquiry and booking, keep you updated of new products or services that may be of interest to you (prior to the date of your event), form a contract between both parties once an enquiry progresses to a booking, and to ensure that payments are made.
In the case of repeat corporate bookings, we may contact you with regards to future bookings you might wish to make for the coming or following year, if contact has not been made by yourselves, and your usual event date receives other conflicting enquiries.
The information we collect includes:
• Client or company name(s)
• Postal address for paperwork correspondence and/or samples
• Email and telephone numbers
• Site/venue address (if different to the postal address) A site or venue address and details regarding vehicle access to this are requested to enable an accurate delivery and collection fee to be calculated and included in a quotation.
If you do not wish to submit this information at the stage of your initial enquiry, then a sample quotation can be prepared for you without this fee, but the delivery and collection fee, once an address has been provided, will be calculated and added to your booking.
We may disclose your site/venue address to our employees, or subcontractors as reasonably necessary to provide you with our services.
We will never sell your information to third parties for marketing purposes. Other than as required by law, or as set out in this privacy statement, we will not disclose information about you to any third party without your permission.
Storage of data
We keep data relating to a booking for a reasonable amount of time following the completion of a booking in order to be able to deal with queries, additional invoicing, or future enquiries. All invoice records are kept securely for 7 years, as required by HMRC.
The Rutland Marquee Company Limited will take reasonable technical and organisational precautions to prevent loss, misuse or alteration of the personal information you provide. Physical paperwork documents are kept within our secure office. Electronic data is stored within password protected devices, although the transmission of data sent over the internet is inherently insecure and we cannot guarantee the security of all data sent over the internet.
Access to information
You have a right to request a copy of the information that we hold about you or request to amend any factual inaccuracies. Once your booking is concluded, should you wish to have your personal information removed from our systems, please write to us, to let us know. Any requests must be directed to firstname.lastname@example.org or in writing to 8 Sycamore Road, North Luffenham, Oakham, Rutland, LE15 8JL. Any request may be subject to an administration fee if the request is manifestly unfounded or excessive. We may withhold such personal information to the extent permitted by law.
